Receptionist Job Description

Greeting clients and hosting clients to the boardroom/ meeting room, ensuring that clients are invited to the waiting area (when necessary) and arranging refreshments.   Answering internal and external telephone calls, assisting with incoming and outgoing post, the preparation of letters, and emails and/or directing these communications to the correct department/member of staff. Making clients and visitors to the office feel welcomed and answering all of their questions.

Duties
  • Taking and directing calls through switchboard
  • Completing administrative tasks such as scanning, filing and delivering and accepting post
  • Cleaning, organising, and maintaining a tidy and professional reception area
  • Keeping basic office supplies stocked and accessible to staff and clients.
  • Assisting with the ordering of supplies for the offices
  • Signing in visitors and clients.
  • Using the telephone loudspeaker system as needed to call for people and make announcements
  • Making appointments and setting up meeting facilities
  • Arranging for catering for meetings and daily office use when required.
  • Greeting visitors to the office warmly and offering them help immediately
  • Providing client support
  • Answering questions about services offered at the firm
  • Answering questions about office hours and who is in the office at any given time
  • Assistance with the case management system, opening new clients and matters, time recording.
  • Dealing with compliance such as client identification requirements.
  • File closing, archiving and storage procedures.
  • Interacting with other services such as IT and telephone providers should a technical issue arise.
  • Maintaining security, health and safety and confidentiality standards.
  • Representing the firm with a positive attitude and professional appearance
  • Engaging in public relations and marketing as required.

Senior Legal Cashier Vacancy

Southerns Solicitors is looking to recruit a full time senior legal cashier, based at the firm’s Lodge House office in Burnley

Hours : Monday to Friday, 9.00 a.m. to 5.00 p.m.

This role would suit a confident and experienced legal cashier wanting to join a reputable and established Law firm. Desirable experience – legal cashiering experience at a senior level, with experience of supervising junior members of a team.

You will be assisting in the day to day running of the accounts department, so that it provides a comprehensive financial support service to the directors and staff and is run in accordance with the Solicitors’ Accounts Rules and other legislation that may be in force from time to time.

 

Duties:
  • Assist in managing the accounts department
  • Assist and liaise with the directors and operations management of the business as and when necessary with reports
  • Supervision of the accounts staff
  • Ensure compliance with Solicitors’ Accounts Rules
  • Spot-check and ensure accuracy of entries made by cashiers
  • Training and mentoring of junior cashiers
  • Providing cover/assisting cashiers with excessive workloads when necessary
  • Processing purchase ledger including direct debits and invoices
  • Raising cheque requests and banking cheques
  • Allocating incoming payments
  • Processing outgoing payments via BACS/CHAPS
  • Disbursement write offs
  • Reconciling and monitoring the firms accounts
  • Assist with issuing of reports generally and liaising with the fee earners over report content
  • Deal with enquiries from auditors for annual audit as and when necessary
  • General Ad-hoc duties as and when required
  • Regular 1:1 meetings with cashiers.
  • Preparation of management accounts.
  • Processing quarterly VAT returns
  • Running month end and year end
Essential Requirements are:
  • Solicitor Accounts Rules knowledge/training
  • Previous experience within a legal practice
  • Anti-money laundering training is desirable
  • Ability to work on own initiative
  • Strong organisational skills

You must have experience working as a legal cashier within a Law firm and being compliant with the solicitor’s accounts rules.
